Receptionist - MBC Heidelberg

  • Full-Time, Fixed-Term for 12 months
  • $75,139 to $86,313 per annum full-time equivalent + up to 17% Superannuation and salary packaging options.

About The Role

We are seeking a professional and patient-focused Receptionist to join our team at the Florey, Melbourne Brain Centre, Heidelberg in our integrated health and research environment that enables world-class clinical research programs delivered by The Florey and partners. As first point of contact you will be the welcoming face of the Melbourne Brain Centre, supporting visitors (researchers, participants, patients) along with Florey staff in delivering a high standard of front-of-house service and providing administrative and facilities support. 

Key Responsibilities.

Front Desk & Reception

  • Greet and triage visitors across clinical, radiology and research domains
  • Respond to phone, email, and in-person enquiries
  • Manage visitor sign-in systems and troubleshoot issues
  • Coordinate deliveries, couriers, and mail distribution
  • Maintain reception resources, directories, and communication materials
  • Support clinic room bookings, car parking access, and general enquiries
  • Provide administrative support across the organisation

Facilities Support

  • Maintain clinical areas & support general building upkeep including communication with contractors.
  • Co-ordinate inventory & asset maintenance/calibration.
  • Support Mail/Couriers/Deliveries
  • Facilitate building access requests Assist with workspace setup, audits, and maintenance of shared areas

Operational & Safety Support

  • Support building communications and announcements
  • Assist in emergency procedures (e.g., evacuation support)
  • Ensure compliance with OH&S policies and contribute to a safe workplace


About You


Essential Skills & Experience:

  • Proven experience in a receptionist or customer-facing role
  • Strong customer service focus and professional communication skills
  • Confident using Microsoft Office and learning new systems
  • Excellent organisational skills and ability to manage competing priorities
  • Ability to work independently and take initiative

Desirable:

  • Experience in a healthcare, research, or medical environment with patient-facing, clinical administration or radiology administration exposure
  • Familiarity with switchboard systems
  • Experience with visitor management, booking, or clinical administration systems

Personal Attributes:

  • Friendly, approachable, and professional manner
  • Strong interpersonal and problem-solving skills
  • High attention to detail and time management
