About the role:

The Assistant Company Secretary will provide dedicated Board and Company Secretariat services to the Company Secretary.

This position requires the incumbent to have a degree of flexibility, adaptability, and the ability to work well within a team.

The primary function of this role is to facilitate and coordinate the preparation of Board and Sub Committee papers on a cyclical rotation, acting as contact point for all contributors and following up on behalf of the Company Secretary.

The Assistant Company Secretary will demonstrate strong stakeholder management, communication, organisational, project and time management and problem-solving and influencing skills to be able to navigate and support the objectives and values of both the Institute and the Executive(s).

 The candidate will be responsible for:

  • Assist the Company Secretary with Statutory reporting.
  • Working with the Company Secretary, liaise with relevant Executives on the preparation of board papers to ensure timely delivery of papers to the Board.
  • Assist the Company Secretary with preparation and collation of Board and Board sub-committee agendas, reports, and minutes.
  • Follow up action items from Board and Board sub-committee meetings on behalf of the Company Secretary to ensure completion within deadlines.
  • Support the Company Secretary with preparation and delivery of AGM papers and collection of proxy forms prior to the meeting.

This position is a permanent, part time role (2 days a week). The role attracts an annual salary offer ranging from Higher Education Worker Level 7 (HEW7-3) $92,515 to Higher Education Worker Level 7 (HEW7-5) $96,252, paid pro-rata, commensurate with experience.

About you:

  • The successful candidate will have:
  • Graduate Diploma of Applied Governance
  • Tertiary qualifications in law or other business-related discipline
  • Familiarity with working with Intelligence Bank Board Paper application and document management systems
  • At least 4 years’ prior company secretariat experience
  • Track record of managing Board and Committee calendars
  • Experience in a medical research institute and or university environment is highly desirable.
